Job Summary:
We are seeking a reliable, organized, and motivated Administrative Coordinator to support daily operations across multiple business and community projects. This role is ideal for someone who enjoys structure, organization, and keeping things running efficiently behind the scenes.

You will assist with scheduling, coordination, administrative reporting and tracking, and general operational support across multiple departments and business entities. This is a long-term opportunity for someone who values consistency, follow-through, and professionalism.

Key Responsibilities:
  • Manage calendars, scheduling, emails, and follow-ups.
  • Track tasks, reminders, and deadlines across multiple priorities.
  • Provide administrative and coordination support across departments and multiple business entities.
  • Coordinate meetings, take notes, and follow up on action items.
  • Conduct basic research on vendors, tools, and operational needs.
  • Maintain and update Excel or Google Sheets for tracking and reporting.
  • Assist with SOP documentation, organization, and workflow improvements.
  • Support day-to-day office operations and administrative processes.
  • Use AI tools (such as ChatGPT) for research, drafting, and organization.

Social Media Support (Light):
  • Assist with organizing content ideas and drafting captions.
  • Help schedule posts and support basic engagement.
  • Use AI tools to assist with content organization. (This is a support function—not a marketing or influencer role)

On-Site & Cross-Location Support:
  • Work across multiple offices as needed.
  • Adapt to changing priorities and operational needs.
  • Provide in-person support when required.
  • Assist with occasional errands and on-site coordination tasks.

Required Skills:
  • Strong organizational and time-management skills.
  • Proficiency in Excel or Google Sheets.
  • Ability to learn new systems independently.
  • Clear written and verbal communication.
  • Ability to manage multiple tasks and follow through.
  • Professional, calm, and dependable demeanor.
